Performing employee evaluations on a regular basis is crucial for open employer-employee communication and productivity. While the face-to-face discussion is an important component, the written account is what stays on file. To protect your business legally and to maintain a record of employee performance, you need to document the evaluation. Getting the wording right on the evaluation is just as important as the dialogue that occurs in the meeting.

Basic Information

As obvious as it may seem, you must include space for basic employee information. Include a section for the employee's name, department and position. Depending on the size of the company, you can also add further specifications, such as title or internal job classification. It is also helpful to note the employee's length of service, time spent in the particular job under review as well as the period of time covered in the evaluation.

Praise

Praising a job well done is always easier than criticism, but it is still important to use appropriate and helpful wording so the employee understands exactly what he did well. Be as specific as possible to ensure continued productive behavior. Use words that show the employee excels in or goes beyond his normal duties and give examples. For example, describe a cooperative employee as one who promotes a collaborative work environment. To communicate that a worker makes good use of time, write that he effectively manages resources. Verbs such as "achieve," "exceed" and "develop" also illustrate a strong work ethic.

Criticism

Criticism isn't pleasant, but sometimes necessary. Most evaluation forms have set phrasing and criteria for which an employee either "excels," "meets" or "needs improvement." This sets the ground for you to elaborate in your review of an employee. Use concrete examples to ensure the employee understands where improvement is needed. You can turn criticism into an opportunity for improvement by setting forth measurable goals. For example, if an employee ineffectively manages work flow, request that he "improve productivity by 15 percent." If the issue is lack of communication, document that the employee must "report to supervisor after each completed task."

Goals

An employee evaluation review is the perfect time to set goals for the coming year. Even broad goals should be measured. For example, you can request that a worker "participate in no less than three seminars." If the review calls for more specificity, write that an employee "stay current on software through completing a course."
