First, unless the person has utterly failed in every aspect possible, it is important to put in some positive phrases. You may choose to say "Areas of accomplishment include people skills, time management, etc." You want to start out on a positive note so that they can feel pride in their accomplishments and hopefully want to improve in the areas that need help. There are alternative phrases that you can include to send out this message. You may use phrases such as "Successful attributes" and "Performance metric excellence."
It is important to share the areas in which the person needs improvement. Of course, you want to state this in a way that is optimistic and will help the person better themselves and not just become depressed about lackluster performance. You may choose to use the term "goals" in a phrase such as "Goals to accomplish" and list how to improve rather than what is wrong. An example is a customer service agent who has an average call length that is too long. Under "Goals to accomplish" you can write "Reduce average call time to under one minute." You can also use phrases to be more specific with goals such as "short term goals" and "long term goals."
If you choose to state the problem areas, then you should be careful in how you do so. "Areas that need improvement" is a common term on performance appraisals that conveys the message without being too negative.
Performance appraisals can be more useful if they direct a person on what exactly to do in order to improve their performance. Use the phrase "Steps to improvement" or "Ladder to goals" as the title in an area that lists these metrics.
You should be professional, clear and concise in the phrases you use to describe the areas in which the employees are judged. Some phrases of common metrics include "People skills, attention to detail, time management skills, ability to meet deadlines, following directions." Of course you will have specific work metrics.
The correct phrases on a performance appraisal can create an excellent resource to aid both employers and employees. Utilize different phrases to convey messages in an appropriate way.
